Project Management Presentations: How to Present a Project Plan

Read our project management guide: http://bit.ly/2e1tegp Presenting your project plan to a client can seem like a daunting thing, but it doesn’t have to. In this video, we show you some simple things you can do to make the project management presentation process nice and smooth for everyone. When you’re working on a project with a client or a product owner, it’s critical to be 100% sure they understand all the details your team has discussed. Your clients may not be familiar with your processes or deliverables so a project plan presentation is your chance to enlighten them. The more you can educate your clients early in the process, the easier time your team will have at winning them over when presenting your work. After all, a client who is invested in, and truly understands your work is not just a client—they’re a partner. Also, it’s never just about the work—it’s about the people doing the work. Be sure to communicate that the team has reviewed the project plan and mention some of the items you discussed and how you arrived at those decisions. There’s a lot of value in showing your clients the human side of your process and your team because it’s often easy for them to think of you as just a shop who just gets the work done. They don’t know all the details, and maybe they don’t want to, but if you share some details about who’s doing what and key things they’re working on, it’ll help them to relate to it a bit more. You’ve put a lot of work into creating this project plan, so talking through the details to make sure that everyone is comfortable with it should be pretty important to you. If this means giving your client and team some extra time to think things through on their own, that’s fine. Of course, you never want this process to take so much time that it delays any of the real project work. You can create the plan while work is underway—but don’t let it go unconfirmed for long. You want to be sure that you have an agreement because the details in your plan will dictate SO much, including your immediate next steps. The chances that you’ll have to make adjustments to your project timeline here or there are pretty significant. It’s uncommon for every project to stick to its plan 100%. Life happens, ideas change, deadlines are missed, and plans change. That may mean that your deadline has to shift, or maybe your process won’t work for this project anymore. As long as you’re flexible and can adapt to the revolving door of changes, so can your project plan. Be sure to give updates to your team and your clients as plans change, or stay on track, and keep your plan in an accessible place. You’ll always come out on top if you’ve communicated or resolved an issue early on, or even just paid a compliment on a job well done.

It definitely has a sexy tone to it right? Project… I just love the way it sounds. I wonder how cool it must sound in French. Proje… Well, project is a temporary endeavor to create a unique solution. Yeah that’s operations. No Well, the difference between a project and operations is fairly simple. A project ends. So, it’s temporary. You implement your project, you close it, you create a unique product/service/ or whatever outcome you wanted then you are done. Whereas in operations, it’s on-going and repetitive. You may have also heard about the terms program and portfolio. Let me just quickly explain them here. Program is multiple projects put together. Combined. And Portfolio is similarly. Multiple programs put together. So, it’s project, program, portfolio. Now before I go further, and dive deep. You need to understand something crucial. To run any project, you need 2 methodologies. The first one is a project life cycle and the second one is project management process. Most people confuse these 2. And if these are not clear, you can kiss the PMP certification goodbye. It’s absolutely amazing how many content creators in YouTube confuse these two. They are not interchangeable. You cannot afford to confuse a project life cycle with a project management process. Don’t worry I am going to make it very simple for you. Let’s start with Project Life Cycle. Project Life Cycle is unique to a project, to an industry, to your needs. It’s highly customizable. Think of it like this; a human development is a project. So, your life cycle is; 1) Conceiving 2) Birth 3) Childhood 4) Teenage hood. Teenage hood. Is that a word? Teenaging? 5) Adulthood 6) And death Easy stuff right? So, now if it was an IT project. I am not an IT but it would like something like this; High-level design Detailed Design Coding Testing Installation And Turnover This is project life cycle. The term cycle is a bit confusing here. I think. But who knows. Anna Yes, help! We're locked in. Denise Don't panic, I've got the key. There. How on earth… Tom …it's not how it looks Denise. We were just… erm… Anna …just looking for envelopes. Denise Really?! Anna Yes, yes, really. The door slammed shut and locked from the inside when Tom walked in. Tom Yeah, she's right. Just walked in, and shut the door and bang. Denise Hmm. Let's just keep it our little secret shall we. (Aside to Anna) I thought you had better taste Anna! Paul Ah there you are Anna, I need a word with you… Oh, you look like you've been caught doing something you shouldn't! Ha ha. Anna …but I haven't. Paul Just joking Anna. Now could you step in to my office, we need to touch base about the European marketing strategy. Anna Are we playing baseball?! Narrator No Anna! Touch base. He wants to catch up with you, probably to see how you're getting on. Go on Anna, let's see what he has to say. Anna Oh I see. That door doesn't lock does it? Paul No, I don't think so. Right Anna. Biscuit? These new peanut ones are quite nice. So how are things with the project? Anna Well, I've done some cold calling and have an order from a company in France. Paul I see. Very impressive but have they signed on the dotted line yet? Anna The dotted line? Paul Have they actually signed the contract yet? Anna Well, no, but… Paul …that's the problem. There's a rival company who's also targeting the European market called Tutti Fruity - and they'll do anything to steal our customers. Anna Oh I see. Paul So, to keep our head above water, we need a clear strategy… and that's why I've put you in charge. So what shall we do? Narrator I've a feeling Paul hasn't a clue – that's why he wants you to come up with the ideas. Anna I think you're right – but I don't know what to say. Narrator Tell him we need to price the rivals out of the market, that means offer the lowest prices so nobody wants to buy plastic fruit from our rivals. You could say that we need to corner the market, that means Tip Top Trading dominates the plastic fruit market. Anna Oh, thanks. That's very useful. Paul So Anna, any thoughts? Anna Lots Paul. I think we've got to compete on price. Paul Oh yes? Anna We need to price Tutti Fruity out of the market. We need to corner the market so that everyone knows we are the best choice for good quality, good value plastic fruit. Paul I like it! Anna And… and… Narrator Tell him we need to build good relationships with our customers – that means we give them good service. Anna …we need to build good relationships with our customers. Talk to them regularly, send them gifts… go and meet them face to face. Paul Face to face? Yes, great idea – just what I was thinking. If we follow this strategy I reckon there could be a bonus for us all by Christmas. Narrator Well done Anna. Very convincing. If you can put your ideas into practice you'll save the company. Let's remind ourselves of the words you used to create the European marketing strategy… We've got to compete on price. We need to price the rivals out of the market. We need to corner the market. We need to build good relationships with our customers. Narrator Well, things seem to be going well for Anna… or are they? Denise Anna! Anna! That man from France has called again and left a message. He's not happy this time. Something about us trying to rip them off! Anna What? Rip them off? Denise It means over charging them or giving them poor quality goods. Anna That's not fair. In this article, we will be taking up monthly capacity planning for a team. We will be using the Resource Capacity Planner Excel Template in this exercise. We need to have a realistic view of how much work can be done by our team next month, taking into account the availability of each of our team members during the month. This will allow us to commit to our leadership on deliverables’ scope and if needed ask for more resource or to reduce the deliverables. Resource Capacity Planner Excel template is helpful in understanding the available resource capacity, comparing with demand and identifying surplus/deficit capacity by skill groups. The template takes the resource availability, holidays, weekends, overtime and vacation data to calculate capacity. Then, based on your input demand data, it can calculate the surplus/deficit capacity. In addition, you can generate an employee availability report. It can be used in different environments. For example, a manager leading a team can use this to plan capacity of his team every month. Project Scope Management involves collecting the information required to start a project and defining the features the deliverable must have that would satisfy the stakeholder's requirements. In project management, the term "scope" has two distinct uses; the Project Scope and Product Scope. Project Scope includes the work that must be accomplished in order to deliver a product, service or result as defined by the stakeholders. Product Scope includes the features and functions that characterize the product, service or result. This is usually outlined by the stakeholders The Project Scope is work-oriented while the Product Scope is oriented towards the functional requirements of the deliverable. If the requirements are not well-defined and if there is no effective change control during a project, "scope creep" may cause the project to go over-budget and behind schedule. Project Scope Management includes all the processes required to ensure that the project includes the work required and only the work required to complete the project successfully. Defining the scope ensures the successful management of other key project management areas including the time, cost and quality. Project Scope Management is the foundation upon which the schedule, budget, resources and the project management plan are planned and created. Project Scope Management includes scope management planning, scope definition, work breakdown structures, scope verification and scope change control. As part of PMI's Continuing Certification Requirements program, a PMP credential holder will need to earn 60 Personal Development Units (PDUs) during every three-year cycle. Fortunately, PDUs can be earned in many ways including E-learning, attending chapter meetings and seminars, and SELF-DIRECTED LEARNING. PMI will recognize activities that involve personally conducted research or study, including discussions and coaching sessions with colleagues or clients. Such activities should make use of informational materials like articles, books, and videos like the ones in this course. Within this course, we offer daily discussions that you may choose to join. Every day is stressful because there's a ton of responsibility on your shoulders when you're in charge. And no matter how good the work is, people always remember that one little thing in the project that didn't go right. It's like they don't even notice the thousand things that DID work perfectly! When you manage a team of people like I do, there are hundreds of tasks that have to be completed for each project, and, honestly, it's impossible to keep track of them all. I'm constantly running around, chasing people down, trying to make sure they're all working on the right tasks. It's extremely stressful. I feel like I spend half my day saying "What are you working on?" to everyone in sight. And you wouldn't believe how many times when I do ask someone what they're working on, I find out that they're putting all their time into a low priority task -- which just wastes valuable time and leads to more delays in the project. It's frustrating. Sometimes I feel like I need to do everything myself. That's exactly why I have to make sure I'm checking up on the team all the time. I'd really prefer not to do it, because it's time-consuming for me and aggravating for them, especially since it interrupts their work. I have to admit that sometimes I feel lost. It's hard to keep track of so many tasks. I have times where I don't really know who's working on what. That can keep me up at night. Especially when we are close to a deadline. Next to "What are you working on?" the second question I catch myself asking people most is "When will it be done?" I have to run a super tight schedule, and I need to know whether or not the project is actually going according to plan. I'm constantly fielding phone calls and emails from clients wondering when the latest feature that they asked for will be ready. You've probably heard this phrase so many times from your clients: "I need an ETA", so for me to keep them up-to-date, I always have to be on top of the progress of the project. And if it's not running on schedule, then I need to have enough time to make changes to the project. There's no question, project managing is a high-stress job. But fortunately I finally got all that stress to go away when I discovered Elementool's Priority List feature. It gives me laser focused control over the projects and my team. I can define a unique priority level to each issue. That way I can make sure that people know exactly what to work on at any moment of the day. So I don't have to worry anymore that they're wasting time doing things they're not supposed to. Sometimes an urgent issue comes in and that means making changes to the project plan and having people stop what they're doing to move on to the new task. The Priority List allows me to makes those updates in just a few seconds on the team's work plan. I can also see at any given moment the progress of the tasks that each team member is working on, and the date that they'll be completed. In fact, you can wake me up in the middle of the night and I'll be able to tell you who's working on what. It's really brought back the feeling that I'm in control. Now I feel more confident that I can finish my projects on time. When I go home at the end of the day my mind is free and I can play with my little girl and not worry about work. I just love it! Change Management Process is a method by which changes to the project like changing the scope, deliverables, time scales or resources are formally defined, evaluated and approved prior to implementation. Once the project baselines are formed and approved, any changes to them should be handled through Change Management Process Only. Generally change requests are called in short forms like PCR or CR. We can split this process in to four distinct phases for our understanding. The first phase is submit a change request. First the stake holder analyses that whether the change is required or not. If he or she thinks it is required then a change request is raised and logged in to the change management system. Please note that irrespective of whether the change is implemented or not, it needs to be logged in to the change management system and any stakeholder involved in the project can raise the CR. Next phase is, review the change request. In this phase the submitted CR is been reviewed by a responsible stakeholders as mentioned in the project management plan. This can be project manager, sponsor or Change Control Board. During the review, the reviewer looks for alternatives and sees whether the change is really required. If it is required, then the impact on project constraints like scope, time and cost are analysed. Generally the project team analyses the impact initially, before submitting the CR to the change control board. Next phase is approve CR. In this phase, based on the decision made by the change control board, the CR is been either approved or rejected and updated in the change management system accordingly. If it is approved, project management plan is updated accordingly. In the final phase, the change request will be implemented. In this process, Approved change requests are passed to Direct and Manage Project Work process, which is part of execution process group and the necessary activities will be carried out by the project team to implement the CR. Once the CR is implemented, Quality control process evaluates the implementation. After evaluation, if it is accepted it becomes part of verified deliverables and if rejected the rework has to be done.

It examines all the phases of the project (initiation, planning, design, construction, testing, implementation & operations) using the modern lens of the Project Management Body of Knowledge (PMBoK). In particular, the 10 month period from Olympic's maiden voyage through to her collision with HMS Hawke, and the substantial impact on the project completing Titanic. White Star deemed Olympic's nine month track record adequate for launching an almost identical sister ship straight into service without adequate sea trials. The project team had a very good understanding of the problems facing White Star, an appreciation of the evolving customer needs, a solid vision, a superlative business case, the right supplier partnership (with ship-builder Harland and Wolff), good stakeholder relationships, and full approval to invest in new emerging technologies to create a luxury liner. But as in all projects there were competing objectives. Bruce Ismay wanted to create the ultimate passenger (first class) experience and anything that interfered with this he pushed back on. For example, he pushed the project architects to make compromises with the safety features which they did because they believed the aggregated effect of the combined safety features would still protect the ships. There is much truth in this but an arrogant view evolved that these ships were equivalent to huge lifeboats. The project team fell into a group think. Such was the confidence in the safety of the ships that by the end of the fitting-out phase there was a belief that no scenario would cause the ships to founder. Even though the ships were compromised a perception grew around the project that these perfect ships were unsinkable. As much planning and thought went into the project's marketing plan as did for the project management plan. Ismay's project communication and marketing campaign was brilliant. Both the maiden voyages for Olympic and Titanic were hyped to be "the social and media events of the 1911 and 1912," the ultimate crossing experiences. The marketing message was clear - if you were someone of prestige in Western society then you had to be aboard for the maiden voyage. This explains why 53 millionaires were on board Titanic who bought into the hype that man had conquered nature with these technology marvels. On April 19th 1912 (5 days after the disaster) U.S. Senator Rayner wrote to the New York Times that: "had Titanic been an American ship subject to our criminal procedure they [White Star Line owners] would be convicted of man-slaughter or even murder." But Titanic was an American ship, yet the U.S. inquiry seemed to skirt around it. White Star owner J.P. Morgan should have been put in the dock, and White Star Chairman Bruce Ismay should have been convicted of man-slaughter. This mini documentary is based on the book Project Management Blunders - Titanic Lessons from the Project that Built, Launched and Sunk Titanic (New Edition). The book covers all aspects of inadequate project management that can lead to project failures (or disasters) to name a few, meddling stakeholders (Ismay), different agendas, compromises, a rushed job, more compromises, changes late in the project, improper testing, and a poor implementation. This is where the biggest learning lessons are for projects today. This mini documentary is also a primer for a Lessons-from-History workshop titled: "Managing Projects in the Face of Meddling Stakeholders."
