It definitely has a sexy tone to it right? Project… I just love the way it sounds. I wonder how cool it must sound in French. Proje… Well, project is a temporary endeavor to create a unique solution. Yeah that’s operations. No Well, the difference between a project and operations is fairly simple. A project ends. So, it’s temporary. You implement your project, you close it, you create a unique product/service/ or whatever outcome you wanted then you are done. Whereas in operations, it’s on-going and repetitive. You may have also heard about the terms program and portfolio. Let me just quickly explain them here. Program is multiple projects put together. Combined. And Portfolio is similarly. Multiple programs put together. So, it’s project, program, portfolio. Now before I go further, and dive deep. You need to understand something crucial. To run any project, you need 2 methodologies. The first one is a project life cycle and the second one is project management process. Most people confuse these 2. And if these are not clear, you can kiss the PMP certification goodbye. It’s absolutely amazing how many content creators in YouTube confuse these two. They are not interchangeable. You cannot afford to confuse a project life cycle with a project management process. Don’t worry I am going to make it very simple for you. Let’s start with Project Life Cycle. Project Life Cycle is unique to a project, to an industry, to your needs. It’s highly customizable. Think of it like this; a human development is a project. So, your life cycle is; 1) Conceiving 2) Birth 3) Childhood 4) Teenage hood. Teenage hood. Is that a word? Teenaging? 5) Adulthood 6) And death Easy stuff right? So, now if it was an IT project. I am not an IT but it would like something like this; High-level design Detailed Design Coding Testing Installation And Turnover This is project life cycle. The term cycle is a bit confusing here. I think. But who knows. What are they going to do? And what will people say when they are discovered in there? I have a feeling we're about to find out… Denise Goodness, what's that? Anna is that you? And is that you Tom? Anna Yes, help! We're locked in. Denise Don't panic, I've got the key. There. How on earth… Tom …it's not how it looks Denise. We were just… erm… Anna …just looking for envelopes. Denise Really?! Anna Yes, yes, really. The door slammed shut and locked from the inside when Tom walked in. Tom Yeah, she's right. Just walked in, and shut the door and bang. Denise Hmm. Let's just keep it our little secret shall we. (Aside to Anna) I thought you had better taste Anna! Paul Ah there you are Anna, I need a word with you… Oh, you look like you've been caught doing something you shouldn't! Ha ha. Anna …but I haven't. Paul Just joking Anna. Now could you step in to my office, we need to touch base about the European marketing strategy. Anna Are we playing baseball?! Narrator No Anna! Touch base. He wants to catch up with you, probably to see how you're getting on. Go on Anna, let's see what he has to say. Anna Oh I see. That door doesn't lock does it? Paul No, I don't think so. Right Anna. Biscuit? These new peanut ones are quite nice. So how are things with the project? Anna Well, I've done some cold calling and have an order from a company in France. Paul I see. Very impressive but have they signed on the dotted line yet? Anna The dotted line? Paul Have they actually signed the contract yet? Anna Well, no, but… Paul …that's the problem. There's a rival company who's also targeting the European market called Tutti Fruity - and they'll do anything to steal our customers. Anna Oh I see. Paul So, to keep our head above water, we need a clear strategy… and that's why I've put you in charge. So what shall we do? Narrator I've a feeling Paul hasn't a clue – that's why he wants you to come up with the ideas. Anna I think you're right – but I don't know what to say. Narrator Tell him we need to price the rivals out of the market, that means offer the lowest prices so nobody wants to buy plastic fruit from our rivals. You could say that we need to corner the market, that means Tip Top Trading dominates the plastic fruit market. Anna Oh, thanks. That's very useful. Paul So Anna, any thoughts? Anna Lots Paul. I think we've got to compete on price. Paul Oh yes? Anna We need to price Tutti Fruity out of the market. We need to corner the market so that everyone knows we are the best choice for good quality, good value plastic fruit. Paul I like it! Anna And… and… Narrator Tell him we need to build good relationships with our customers – that means we give them good service. Anna …we need to build good relationships with our customers. Talk to them regularly, send them gifts… go and meet them face to face. Paul Face to face? Yes, great idea – just what I was thinking. If we follow this strategy I reckon there could be a bonus for us all by Christmas. Narrator Well done Anna. Very convincing. If you can put your ideas into practice you'll save the company. Let's remind ourselves of the words you used to create the European marketing strategy… We've got to compete on price. We need to price the rivals out of the market. We need to corner the market. We need to build good relationships with our customers. Narrator Well, things seem to be going well for Anna… or are they? Denise Anna! Anna! That man from France has called again and left a message. He's not happy this time. Something about us trying to rip them off! Anna What? Rip them off? Denise It means over charging them or giving them poor quality goods. Anna That's not fair. I'm going to have to sort this out. Narrator That's it Anna – go and build a good relationship with your customer! Bye for now.

Project Scope Management involves collecting the information required to start a project and defining the features the deliverable must have that would satisfy the stakeholder's requirements. In project management, the term "scope" has two distinct uses; the Project Scope and Product Scope. Project Scope includes the work that must be accomplished in order to deliver a product, service or result as defined by the stakeholders. Product Scope includes the features and functions that characterize the product, service or result. This is usually outlined by the stakeholders The Project Scope is work-oriented while the Product Scope is oriented towards the functional requirements of the deliverable. If the requirements are not well-defined and if there is no effective change control during a project, "scope creep" may cause the project to go over-budget and behind schedule. Project Scope Management includes all the processes required to ensure that the project includes the work required and only the work required to complete the project successfully. Defining the scope ensures the successful management of other key project management areas including the time, cost and quality. Project Scope Management is the foundation upon which the schedule, budget, resources and the project management plan are planned and created. Project Scope Management includes scope management planning, scope definition, work breakdown structures, scope verification and scope change control. As part of PMI's Continuing Certification Requirements program, a PMP credential holder will need to earn 60 Personal Development Units (PDUs) during every three-year cycle. Fortunately, PDUs can be earned in many ways including E-learning, attending chapter meetings and seminars, and SELF-DIRECTED LEARNING. PMI will recognize activities that involve personally conducted research or study, including discussions and coaching sessions with colleagues or clients. Such activities should make use of informational materials like articles, books, and videos like the ones in this course. Within this course, we offer daily discussions that you may choose to join. In this article, we will be taking up monthly capacity planning for a team. We will be using the Resource Capacity Planner Excel Template in this exercise. We need to have a realistic view of how much work can be done by our team next month, taking into account the availability of each of our team members during the month. This will allow us to commit to our leadership on deliverables’ scope and if needed ask for more resource or to reduce the deliverables. Resource Capacity Planner Excel template is helpful in understanding the available resource capacity, comparing with demand and identifying surplus/deficit capacity by skill groups. The template takes the resource availability, holidays, weekends, overtime and vacation data to calculate capacity. Then, based on your input demand data, it can calculate the surplus/deficit capacity. In addition, you can generate an employee availability report. It can be used in different environments. For example, a manager leading a team can use this to plan capacity of his team every month. A project manager who is working on a multi-month long project can plan the resource capacity for the entire duration. This can also be used outside corporate environments wherever you want to compare demand vs capacity. Contract management or contract administration is the management of contracts made with customers, vendors, partners, or employees. The personnel involved in contract administration required to negotiate, support and manage effective contracts are often expensive to train and retain. Contract management includes negotiating the terms and conditions in contracts and ensuring compliance with the terms and conditions, as well as documenting and agreeing on any changes or amendments that may arise during its implementation or execution. It can be summarized as the process of systematically and efficiently managing contract creation, execution, and analysis for the purpose of maximizing financial and operational performance and minimizing risk. Common commercial contracts include employment letters, sales invoices, purchase orders, and utility contracts. Complex contracts are often necessary for construction projects, goods or services that are highly regulated, goods or services with detailed technical specifications, intellectual property (IP) agreements, outsourcing and international trade. Most larger contracts require the effective use of contract management software to aid administration among multiple parties. A study has found that for "42% of enterprises...the top driver for improvements in the management of contracts is the pressure to better assess and mitigate risks" and additionally,"nearly 65% of enterprises report that contract lifecycle management (CLM) has improved exposure to financial and legal risk." During the post-award phase, it is important to ensure that contract conditions and terms are met, but it is also critical to take a closer look for items such as unrecorded liabilities, under-reported revenue or overpayments. If these items are overlooked, margin may be negatively impacted. A contract compliance audit will often commence with an opportunity review to identify the highest risk areas. Having a dedicated contract compliance (and/or governance) program in place has been shown to result in a typical recovery of 2-4% and sometimes as high as 20%. Current thinking about contract management in complex relationships is shifting from a compliance “management” to a “governance” perspective, with the focus on creating a governance structure in which the parties have a vested interest in managing what are often highly complex contractual arrangements in a more collaborative, aligned, ?exible, and credible way. In 1979, Nobel laureate Oliver Williamson wrote that the governance structure is the “framework within which the integrity of a transaction is decided.” He further added that “because contracts are varied and complex, governance structures vary with the nature of the transaction.” (See also relational contract). Eriksson and Westerberg (2011); Li, Arditi, and Wang (2012); Chen and Manley (2014), and Cardenas, Voordijk, and Dewulf (2017) have hypothesized, developed and extensively tested conceptual models in which relevant project governance instruments and factors were identified and related to the performance of construction projects. A collaborative governance framework has four components: A relationship management structure (how the parties work together to make both day to day operational decisions as well as strategic decisions) A joint performance and transformation management process designed to track the overall performance of the partnership An exit management plan as a controlling mechanism to encourage the organizations to make ethical, proactive changes for the mutual benefit of all the parties. Compliance to special concerns and regulations, which include the more traditional components of contract compliance.

Swenson is also responsible for assessing, refining and/or creating new processes to support HNTB’s primary business processes in sales, contracting and delivery. From the transcript: Michael Krigsman: (00:06:28) You have a war for talent. Brian Swenson: (00:06:36) Yes, it's very tight right now. Certainly, as the U.S. is moving forward with funding, we've seen significant funding increases through the last federal reauthorization bill. Last year's elections brought hundreds of millions of dollars in new money, primarily on the West Coast with self-help funding. And then, with the President's infrastructure program, more money is going to be coming into the marketplace. We clearly see a war on talent within the engineering spaces, and this is one of the areas HNTB is looking at to make a difference to help elevate the firm's capability to respond and deliver programs and projects for our clients, but then also to attract and retain our employee population that we have here at HNTB. Michael Krigsman: (00:07:25) What's the relationship between technology and the type of technology that you purchase and deploy? What's the relation between that and being able to attract the talent and attract millennials, as you were just describing? Brian Swenson: (00:07:39) Yeah, so our legacy systems are just old. They're 20 years old. They're not connected. It's hard to get information. We spend a lot of time manipulating data within our systems because they don't talk. They're not modern. They're not easy to update. They're not easy to adjust. (00:08:04) One of the things that I realize, as I stepped into this role as the business lead for our ERP initiative--I'm a civil engineer by trade. I am not a technology individual, so this has been kind of eye-opening for me in the past four years in this journey I'm on--[is] making these changes to our existing systems, HNTB is not in the business of software development and software enhancement. With these legacy systems, that's what we had gotten ourselves into. We had just really not invested in that because it's just not our strength. (00:08:39) Well, now, as we move to these modern systems, and we're using Microsoft Dynamics for our solution, Microsoft is the one that does that investment in research and development. Then we can choose what pieces of the application we want to apply with this. (00:08:54) It's that link. It's that connection of, how can we keep our technology up to date? How can we keep it current? How can we keep it cutting edge? That's the value. That's the connection that we're trying to make for our employees, and then to also drive the growth and profitability of HNTB. Michael Krigsman: (00:40:26) This carries forth both on your team, as well as on the external team, which in this case is Avanade. Brian Swenson: (00:40:35) Yes. Avanade has a client, an account executive that is in HNTB's offices weekly that I interact with regularly. They have their program manager, and then they've also got a project manager that works with us. I interact with Avanade's account exec and their program manager on a weekly, many times daily, basis. (00:40:58) We're interacting, and what works, what we have found that works, and what I've talked with them about, is I expect transparency. If you're not telling me something and we've got a problem, I can't help solve it. I can't react to it. If it's going bad, it's not going to be good for you or us if we don't know about it and work on it beforehand. (00:41:20) This is something that we've talked about a lot. We've done AARs, after action reviews, in situations where we've struggled with it and we've changed our approach. But we're at a point that we're very comfortable and confident in cases of sharing the dirty laundry. What's not working? What haven't we reacted to right? What's going on? (00:42:07) Avanade has demonstrated they're willing to do that. To me, that's a key component of a vendor and a critical piece in my mind of what makes a successful relationship between a vendor and an account or a customer.

Team building and following the process is key and requires a Project Manager to keep the project moving forward in a timely and cost-efficient manner. Monitoring & Controlling As the project moves forward, monitoring progress is key. Its important for progress to be measured by project plans and also determine if any variances require corrective action. Risk Audits, issue logs to facilitate conflict resolution and measuring team performance are all key during this phase. Closing No project is complete until it is properly closed and thereby ensuring the work was performed to the specified requirements. Final performance reporting, lessons learned and indexing and archiving records are a few more elements that need to be completed during this phase.
